The Full Breakdown

How we calculated each number, and what it feels like in your week.

Category 1 of 6

Scheduling Sessions

Coachees book straight from your live availability

Manual process~15 hrs
With Flyt~0.5 hrs
97%
reduction in time spent
What this means in practice

You set your availability once, and the email ping-pong to find a time simply stops.

How we calculated this

Finding a time for each session by email, handling timezone differences, and fitting in reschedules takes around 15 minutes per session once the back-and-forth is counted. Across 10 coachees and 60 sessions, that adds up to about 15 hours. With Flyt, coachees book directly from your synced calendar, so your part shrinks to keeping availability up to date and handling the odd exception, roughly 30 minutes.

Category 2 of 6

Assignments and Reminders

Set once, delivered and chased automatically

Manual process~10 hrs
With Flyt~1 hr
90%
reduction in time spent
What this means in practice

Coachees arrive at the session having done the work, and you never write another “just a friendly reminder” email.

How we calculated this

Sending exercises between sessions, tracking who has submitted what, and reminding people as deadlines approach takes around 10 minutes per coachee per session, about 10 hours across 60 sessions. In Flyt, assignments are attached to the program, due dates follow the booked meeting, reminders go out on their own, and submissions mark the assignment complete. What is left is setting them up, roughly 1 hour.

Category 3 of 6

Booking Nudges

Automatic reminders so coachees book their next session

Manual process~8 hrs
With Flyt~0.5 hrs
94%
reduction in time spent
What this means in practice

You stop chasing coachees to book, and the relationship stays about coaching instead of calendar admin.

How we calculated this

Roughly one in three sessions needs a chaser before the coachee books, often two. At about 10 minutes per follow-up across 60 sessions, that is around 8 hours of chasing. Flyt sends booking reminders on a set rhythm until the session is booked, so you only step in when a real conversation is needed, roughly 30 minutes.

Category 4 of 6

Shared Resource Library

One private place for everything you share

Manual process~8 hrs
With Flyt~1 hr
88%
reduction in time spent
What this means in practice

Every workbook, model, and exercise lives in one place, and sensitive material never sits in someone’s inbox.

How we calculated this

Finding the right material, attaching it, re-sending it when it gets lost, and keeping track of who has what takes around 8 minutes per session, about 8 hours across 60 sessions. In Flyt, resources live in a shared library and are delivered inside the program with access limited to the right people. Keeping the library tidy takes roughly 1 hour.

Category 5 of 6

Program Feedback Surveys

Coachee input that improves the program while it runs

Manual process~6 hrs
With Flyt~0.5 hrs
92%
reduction in time spent
What this means in practice

You hear what is working mid-program, while there is still time to adjust, instead of in a debrief after it ends.

How we calculated this

Writing check-in questions, sending them, chasing answers, and summarizing them for the program team takes about 6 hours per program cycle when done by email and spreadsheet. In Flyt, surveys are attached to program steps and sent automatically, and the answers are collected in one place for you and the program team. Your part is reading them, roughly 30 minutes.

Category 6 of 6

Coach Community

The Coach Lounge for exchanging experience and materials

Manual process~6 hrs
With Flyt~2 hrs
67%
reduction in time spent
What this means in practice

The answer to “how do you handle this?” is one thread away, from coaches who work in the same programs as you.

How we calculated this

Coaches in larger providers spend real time asking colleagues for advice, hunting for materials someone else used, and repeating the same questions across email and chat groups. We estimate about 6 hours per program cycle. Flyt’s Coach Lounge gives every coach in the organization one shared space for threads and ideas across programs. You still spend time there, it is just time well spent, roughly 2 hours.

A note on methodology

These estimates reflect what we have seen in coaching programs we have built and run ourselves, as well as feedback from coaches using Flyt. We based the manual benchmarks on a coach managing their own sessions with email, a calendar, shared folders, and chat groups. Your actual savings will vary with the number of coachees, the length of the program, and how your organization works today. We share these numbers not as guarantees, but because we believe transparency builds trust.
